How to correct a mistake in a work book

If it is necessary to change any entry, after the last one, indicate the subsequent serial number, the date the new entry was made, and then in column 3 write: “The entry with number such and such is invalid.”

After this, you need to enter the data as required. For example: “Accepted for such and such a profession (position).” Then, in column 4, the date and number of the order (instruction) or other decision of the employer, the entry from which was incorrectly entered into the work book, is repeated, or the date and number of the order (instruction) or other decision of the employer, on the basis of which the correct entry is made, is indicated.

In the same manner, a record of transfer to another job, etc., is invalidated.

If the dismissal entry in the work book is invalid

If there is an entry in the work book about dismissal or transfer to another permanent job, which is subsequently declared invalid, upon the written application of the employee, a duplicate work book is issued without making an entry declared invalid.

In this case, in the upper right corner of the first page of the duplicate work book, the inscription: “Duplicate” is made.

Electronic work books

Dismissal at the employee's own request

Dismissal is formalized in strict accordance with the Labor Code of the Russian Federation. In this case, you need to write on the basis of which article of the Labor Code of the Russian Federation the employee was fired. The wording should be as follows: The employment contract was terminated at the initiative of the employee, paragraph 3 of part 1 of Article 77 of the Labor Code of the Russian Federation.

Error in company name

In the work book, you indicate the full and abbreviated name of the company in the form of a heading - before the employment record (Instructions No. 69). Inconsistencies in the title need to be corrected so that the Pension Fund does not deprive the employee of his seniority in your company. The name in the book may differ from the charter if the company has made changes to the Unified State Register of Legal Entities or entered information incorrectly.

The company changed its name. Write that the organization has been renamed and indicate the details of the document on the basis of which the company changed its name.

You got the name wrong. If you filled out the wrong name before the job application, then cancel the entry. To do this, make a record without a number indicating that there was a mistake in the name (see sample 6 below). An incorrect title cannot be crossed out.

Rules for registering work books

Work books in the personnel department of the organization are maintained for all employees of the following categories:

  • registered for permanent work;
  • hired under a temporary employment contract;
  • seasonal workers, if this work is fundamental for them;
  • freelancers subject to social insurance;

Employees who already have work experience with official employment, when applying for a job, they must have a book in hand and provide it to the personnel department. 1. Title page

The last entry indicates the dismissal of the employee. Information about dismissal must indicate its reason (by at will, by translation, at the initiative of the employer with reference to the relevant article of the Labor Code of the Russian Federation). The personnel employee affixes his position and signature with a transcript, and an official seal.

3. Rewards section

This section in most work books remains blank. The information entered into it does not include cash bonuses included in the remuneration system and verbal thanks from management. Incentives include titles, awards, diplomas and certificates, badges, which are provided for by the collective agreement and others. internal regulations organizations, as well as the legislation of the Russian Federation.

The filling procedure is similar:

  • record number in order;
  • promotion date;
  • type of reward (gratitude, certificate, honorary title), by whom and for what;

It should be noted here that many employers practice issuing all kinds of certificates, diplomas, and acknowledgments without accompanying them with a corresponding order. In this case, this gratitude is just a “piece of paper”, which is not reflected in any way in the employee’s personal file or in his work book. It is in the employee’s interests to have all such incentives officially recorded, so he has the right to insist on including the received incentives in his documents. The problem is solved by creating the necessary administrative document, on the basis of which HR officers will register the employment record.

4. Additional information

At the request of the employee, data on part-time work is also entered into the work book. In general, this information is not mandatory, but if an employee brings documents to the HR department confirming a combination of jobs in another organization, then on their basis a corresponding entry can be made.

A work book is not issued to an employee for part-time work; it is stored and maintained only by the main employer. How to fill out a work book in this case? In the work section, the same thing is written down: the entry number, the date of registration as a part-time employee (from the order), which organization he was accepted into, indicating the department and position, details of the order. Dismissal is recorded in the same way.

Additional data includes the employee obtaining a second profession, assigning a category, rank, etc. These facts are entered into the section with information about the work in the general manner.

A special situation is the renaming of an organization. If this is not a reorganization, during which dismissals are made with the simultaneous admission of personnel to the staff of the newly created legal entity, then the new name of the employer is entered into the work book of each employee with a link to the basis document. In this case, from the records in the employment record, it will be clear why the seal of the organization affixed upon dismissal does not correspond to the name of the company at the time of employment.

What to do if your work is over?

There are times when an employee no longer has free space in one of the sections of the work book. To solve this problem, there is an insert, which is maintained in the same order as the main book. The instructions for maintaining work books do not indicate exactly where the insert is sewn, but logically this is done after the last page.

The insert has a series and number, which must be indicated on the title page or cover of the main book on the “Insert issued” stamp. The insert registered in this way is an integral part of the work, it is filled out in the same way (including the title page), the numbering of records continues.

If the insert form is initial filling damaged, it is destroyed according to the rules for the disposal of strict reporting forms: in the presence of a commission with the execution of the corresponding act. The same applies to damaged and outdated work record forms.

Basic errors in work books and their correction

Errors when filling out work books are completely unacceptable. What to do if they still arise?

You cannot cross out incorrect entries! Correction of errors in the work book made in information about work and incentives is carried out exclusively by declaring the entire entry invalid. This is done like this:

  • Column No. 1 – record number in order;
  • column No. 2 – date of correction;
  • column No. 3 – enter the phrase: “The entry numbered ... (indicate the number of the incorrect entry) is invalid,” then indicate the correct option;

A mistake made at one of the previous places of work should be corrected there. If this is not possible, then the current employer can do this independently if the owner of the work book has a basis order or any other official document with reference to this order (certificate, extract from the order registration book, etc.)

Quite often there is a need to change information about an employee on the title page (usually a change of surname due to marriage or divorce). Data correction is made only on the basis of a document provided by the employee to the HR department.

  1. The old surname is crossed out with one line.
  2. The new one fits above it.
  3. On the cover on the left side of the title page the details of the document confirming the change of surname are indicated.
  4. This inscription is certified by the signature and seal of the organization.

What else should you pay attention to when working with work books? There is a whole list typical mistakes, which are most often allowed by personnel services when preparing records:

  • presence of abbreviations;
  • errors in writing your name;
  • incorrect date format (month cannot be entered in words);
  • the data is not completely filled out or empty lines are left on the title page (for example, information about education, profession);
  • the date of registration of the book was missed;
  • there are no signatures of the owner and the responsible employee;
  • the title page is not stamped;
  • work data is included in the incentives section and vice versa;
  • the record of dismissal is confirmed by the seal of the HR department, and not the stamp;
  • the order of specifying order details was not followed.

It is issued by the employer upon first employment after execution of the contract. An order is issued based on this fact. Based on it, an entry is made in the form no later than five days.

The absence of a work record when applying for a job is not a basis for refusal of employment. A citizen may not have a document, because he had not worked before. To get one, a person needs to write an application addressed to the employer with a request to issue a form (Article 65 of the Labor Code of the Russian Federation).

A work book must be issued for an employee engaged in labor activities at the main place of work for a period of more than 5 days. If a person is a part-time worker, then his work record is kept at the place of his main job.

Entries in the work book are issued without any abbreviations. They are assigned an individual serial number in each section. Dates of entries are indicated exclusively in Arabic numerals. The month and day in the recording date are always indicated by two digits (01,02,10,25), and the year by four (for example, 2017).

When a person is employed at a new place of work, the work book submitted by him is checked for authenticity, namely, the compliance of the passport data indicated on the first page of the book is checked, and the presence of a seal from the first place of work on the title page. If the specified stamp is missing, the book is declared invalid, and the employer issues a new one. Also, a new book is started if a person gets a job for the first time.

  • Personal information about the employee;
  • Information about his places of employment and positions held;

The first section of the work book, located on the title page, indicates the employee’s full name, date of birth, education and acquired specialty. Don't forget that there are no abbreviations when filling out a work book not done. Also on the title page is the signature of the employee himself, the HR department employee who filled out the work book, and the seal of the organization with the coat of arms is affixed.


The next section of the work book is intended for making entries on hiring, internal transfers, and dismissal. Mandatory when filling out a work book the positions held by the person are indicated, as well as the full names of the employing organizations. To confirm each entry, the number of the corresponding order, stamp or seal of the organization is indicated.


And finally, a section regarding awards. All awards and incentives made to the employee are reflected here. The dates of the awards, their type, and the document in accordance with which the award was made are indicated.

When the number of sheets in a particular section is fully used, a special insert is placed in it. In this case, a note is made in the book about the issue of the insert indicating a specific date. This entry is made in the form of a stamp on the title page or its spread. In this case, it is impossible to make a handwritten note about the issue of the insert. The insert is sewn into the book and is considered invalid without it, and the page numbering in it continues the numbering in the book itself. How entries are made in the work book

Do I need entries in the work book about part-time work?

As noted above, filling out a work book must be carried out at the main place of work. Current legislation does not require making entries about part-time work; this can only be done if the owner of the book wishes to do so. Corresponding entry in the work book is also drawn up in the personnel department at the main place of work on the basis of documents submitted by the employee from the place of work where he is listed as a part-time worker.

If part-time work is carried out within one enterprise, then to carry out the necessary entries in the work book internal documents are used. A record of dismissal from a part-time job is made in the same way.

What to do if something needs to be corrected when filling out a work book?

It happens that in the process of filling out a work book it is necessary to make corrections to the data indicated on the title page. For example, due to marriage, the surname changed. In this case, the previously specified information is carefully crossed out with one line, and a new entry is made next to it, indicating the document that served as the basis for it. This link is placed on inside the cover of the book, then the HR department employee who made the entry puts his signature and the seal of the organization.


If corrections need to be made due to a previously made error, for example, the employee’s name or date of birth was incorrectly indicated, then the entry is invalidated and the correct one is made instead. Again, do not forget about the signature of the employee who made it and the seal of the organization.


If there are damaged work record forms, as well as outdated ones, the employer must take measures to destroy them. This is done in strict accordance with the rules for working with forms that are subject to strict accounting. In this case, a special commission is created, destruction is carried out with the execution of the corresponding act. It must indicate the reason for destruction and list the book numbers.
